Privacy Policy
Last updated: 1 November 2026
B4 Sports Coaching (the website and the B4 mobile app) is a club management and athlete development platform that brings a sports club's athletes, families and coaches together. This policy explains what data we process, why, and your rights.
Who is responsible for your data?
For data about a club's athletes, families and staff, your club is the data controller. B4 processes that data on the club's behalf and on its instructions (processor). B4 is the controller for platform account, security and billing data. In both cases you can reach us at hello@b4mentalcoaching.com.
What we collect
- Account and contact: name, email, phone, username, role and club.
- Athlete details: date of birth, gender, sport, team, jersey number, emergency contact and health notes the club enters.
- Training and development: attendance, matches and camps, assessments, goals, coach and psychologist notes, learning progress, nutrition and daily check-ins.
- Health and fitness (optional): with a parent's permission, sleep, resting heart rate, HRV, steps and workout minutes from Apple Health. We never write to Apple Health; this data is not used for advertising or marketing and is not shared with third parties.
- Photos (optional): only a photo you choose for the jersey try-on preview.
- Payments: dues, camp and store payments. Card details are handled by the payment provider (iyzico), not by us.
- Device and usage: a push notification token, language, sign-in and security logs, crash reports.
How we use it
We do not sell data, we do not use it for advertising, and we do not track you across other apps or websites.
- To run the club service: training plans, attendance, matches, dues and family updates.
- To follow athlete development and give coaches suggestions (including AI-assisted suggestions; the coach always decides).
- To keep your account secure, fix problems and meet legal duties.
Who we share it with
Data is shared only with the authorised people at your club (according to their role) and with service providers that help us run the service:
- Hosting, database and sign-in: Supabase.
- AI features: OpenAI and Google (Gemini). They receive only the minimum needed for the feature to work.
- Payments: iyzico. Notifications: Expo and Apple Push Notification service. Error monitoring: Sentry.
- If your club joins a federation or league network, match results and the club name are shared with clubs in that network; if your club turns on an integration, the data it allows is shared with that integration.
Children
Most athletes are minors. For a child below the legal age, a parent gives and can withdraw permissions (for example, sharing health data). We apply 18 in Türkiye, 13 to 16 in the EU depending on the country, 13 in the UK and 13 in the US (COPPA).
How long we keep it
We keep data while the club membership lasts and as long as legal retention rules require. After membership ends and the club's retention period passes, athlete records are anonymised; anonymous records needed for accounting are kept for the legal period.
Your rights
Under GDPR, UK GDPR, KVKK, COPPA and similar laws you can access, correct, erase, restrict, object to and download your data. In the family area, Privacy rights lets you download data at once or send a request to the club, which answers within 30 days. You can also write to hello@b4mentalcoaching.com or complain to your data protection authority.
Deleting your account
You can delete your account at any time: in the app under Profile > Delete my account, on the web in the profile menu under Delete my account. Details: /delete-account
Security
Connections are encrypted (HTTPS). Sign-in details are kept in the device's secure keychain. Each club's data is kept apart from other clubs, and sensitive actions are recorded in an audit log.
Changes
When we update this policy we change the date above and announce important changes in the app.
